Newly structured vehicle catalog and significantly lower costs

Heidelberg Schweiz AG is the global market leader in solutions for the entire print media industry and operates in more than 170 countries. Heidelberg Schweiz AG and its employees successfully ensure the distribution and servicing of HEIDELBERG machines and products in all regions of Switzerland and the Principality of Liechtenstein.

To provide its services, Heidelberg Schweiz AG has a fleet of around 50 cars, all of which are leased.

Benchmarking of current fleet costs

HEIDELBERG’s goal was to review its current partnerships in terms of both brands and providers. To find out whether there was potential for optimization and how much this could be, procorp carried out a benchmarking exercise in advance. The current leasing costs of two specific vehicles were compared with possible market costs. HEIDELBERG relied on procorp’s experience and database information.

“The results of the benchmarking clearly showed that Heidelberg Schweiz AG has significant potential for cost optimization. It was immediately clear to us that procorp should put the entire fleet out to tender for us,” says Marlies Stettler, Head of HR and Fleet Manager.

 

 

Fleet tender

Once procorp had gathered the customer’s mobility requirements, the tender process could be launched in a two-stage procedure.

Initially, selected brand representatives were asked to submit bids for specified reference vehicles. After HEIDELBERG had drawn up a shortlist, the remaining vehicles were allocated to selected leasing companies for bidding.

The entire process was carried out using procorp’s software, which ensured a short turnaround time for the tender, transparency in the bids, and gave the customer the assurance that all providers on the market would be treated equally. According to Ms. Stettler, “This process was perfect for us. It took all the pressure off us, we got exciting results, and we were able to make a decision easily. Choosing procorp was a stroke of luck for us; we felt that they were also willing to go the extra mile for the customer. This enabled us to rethink the whole issue of fuel management following the tender. This is a further improvement on the previous situation, which will be reflected financially,” Ms. Stettler is certain.

RESULT

After conducting another round of inquiries with the brands and leasing providers on the shortlist, the tender process was completed within around 10 weeks. The result was a small vehicle catalog from which employees can choose in future. “Taking the fleet process to the next level with procorp: competent, pragmatic, and focused on real results,” says Ms. Stettler after the conclusion of the very successful tender. “We will continue to rely on procorp when it comes to vehicle fleets and mobility.”
